Job Summary

Under the direction of the PMO, this position is responsible to oversee and manage the operational aspects of on-going projects and serves as a liaison between project management, project planning, the project team, and the program management office, The successful candidate will be capable of establishing and managing project baseline, managing budgets, schedules, resources, risks, issues, opportunities as well as program changes and technical performance. The candidate in this position needs to have excellent communication skills with focus on ultimately achieving customer satisfaction.

Candidate must be able to travel required for project coordination and key meetings.

Job Responsibilities

  • Assist the Program Office in assessing, documenting, and tracking new program requirements and follow-on technical exchange meetings (TEMs).

  • Planning and coordinating program management process activities such as Program Reviews, Control Gate Reviews, program stakeholder and sponsor meetings, briefings, and presentations.

  • Coordinating program schedules, documentation, distribution of meeting minutes and action items.

  • Receiving, assigning, tracking, integrating, and responding to all manner of actions and tasks.

  • Assisting in the preparation of management plans, reports, and documentation.

  • Support tasks requiring the collecting, compiling, evaluating and publishing of information and statistical data in documents, records, forms, reports, plans, policies, and regulations.

  • Maintain correspondence suspense files, records, files for reports, operating procedures, internal memorandums, and composes correspondence.

  • Provide support such as technical writing or technical editing of various program related documents, artifacts, and deliverables.

  • Conduct research and ensure use of proper terminology.

  • Facilitate meetings and other related sessions.

  • Provide documentation, requirements, and information and status updates.

  • Provide direct support to the program managers with relationship to supporting the sponsor and sponsors partners information environment.

  • High degree of customer, communication, and interpersonal skills required while interacting with high level officials and important program stakeholders. Discretion in communications and with program team members is essential.

  • Critical thinking, problem solving, judgement, and decision making are essential to supporting the dynamic needs of the program.

  • Execute projects or events for Program Manager in accordance with objectives and timelines agreed; anticipate issues before they arise, and implement a plan to address them, making appropriate adjustments.

  • Manage day to day office operations and work activities. Oversee onboarding and departure processes for the workforce.

Basic Qualifications

  • Bachelor's degree in appropriate discipline or in the absence of a degree six years of related experience

  • Excellent prioritization and coordination skills with the ability to work to multiple deadlines under pressure

  • Quick, creative problem solver who works well under pressure

  • Excellent verbal and written communication skills
